Administrative Operations Assistant

  • Excellent communication skills; effective interpersonal and telephone communications. Bilingual (English/Spanish) is a plus

  • Strong working knowledge of Word, Excel and Outlook

  • Experience with other software programs; ability to quickly learn new computer software applications

  • Strong typing skills with ability to proofread documents

  • Flexible and motivated to learn new tasks

  • Excellent organizational and scheduling skills


Duties & Responsibilities:

  • Client communication and service – answer phones, ability to respond to customer needs and concerns, update records, gather and deliver correct and detailed information

  • Follow up – surveys, mailers, thank you letters, invoices

  • Assist all departments with system needs; creating proposals, jobs, schedules

  • Assist with month end tasks; invoicing, mailing, filing

  • Data entry; client information, employee information, time/payroll data

  • Up-selling/Marketing – seasonal suggestions, sales, proposals
